THE EXECUTIVE DIRECTORS COLUMN  


OPPORTUNITY IS KNOCKING!

How many of you are involved with a booster club that is busting at the seams with volunteer support and funding? I would wager that the number is ZERO!

The number #1 question I get as I visit booster clubs around the country is "how can we increase our parent participation?" For the majority of clubs the answer is pretty much the same and one that I want to share with our readers this month.

If you want to increase your parent participation you must take into consideration the following factors:

  1. Remember that people like to get involved with organizations where they feel that they are making a difference.
  2. Your coach, program director and school officials play a very important role in helping motivate parents to participate.
  3. People like to be around other people who are having fun.
  4. If a person feels welcome they will usually get involved.

Okay so now we know what we already know - it's important that our booster club has the support from our coaches and administrators and is seen by others as a fun and open organization that is making a difference at our school.

How do we accomplish this so that we increase our parent participation?

Here is a sample list of 15 tips I give that pretty much cover all groups. You will find a few that fit your group and if used with help to expand your parent participation as well.

1. Always open booster club meetings to the public.
2. Develop mentoring programs for all key executive level positions.
3. Break down events, activities and tasks into small, achievable portions for each volunteer.
4. Conduct pre-season planning sessions with coaches, program directors and school officials. Let them know your group is their to support them and also needs their support as well.
5. Make membership an opportunity for the member to receive discounts, extra-benefits, exposure.
6. Produce a monthly newsletter.
7. Keep in contact with old booster club officers, members and alumni.
8. Send notices of upcoming events, meetings and activities to your local newspaper.
9. Encourage coaches and program directors to promote active support of the booster club at orientation meetings.
10. Allow input and suggestions from all parents and supporters. This doesn't mean you have to implement them, just let them have their input like you.
11. Schedule activities designed to do nothing more than get to know your supporters and have some fun.
12. Recognize your volunteers - regardless of how large the success.
13. Develop multiple levels of membership.
14. Visit parent meetings at schools and programs involving younger kids within similar activities - invite them to attend special events and activities.
15. Develop postcards, flyers and promotional pieces where you can promote your mission and invite people to become a member and support your program.

DO-IT YOURSELF FUNDRAISER OF THE MONTH


Craft Fair -- Bake Sale
Churches and special interest groups are famous for annual Christmas Craft/Bake Sales. People rent tables (all proceeds from table rentals go to your group). On the sale Saturday (1 day only) the sellers sell their wares (crafts, Christmas decorations, baked goods, etc) and they kept the money from their sales.

This has to be well organized in that table sales are done in advance (usually Sept-October timeframe) so the sellers can make sure they have enough product.

I am the new president for our high school athletic booster club and was told by the outgoing president that our booster club can conduct business under our school's non-profit business registration, is this correct?

Dear Patti,
We receive a very large number of monthly questions regarding corporate structure so we hope that fellow boosters around the country take note as well.

Booster clubs can establish themselves under one of two legal structures. The first is to become a registered company with the state and federal government. Establishing itself as one of the many legally recognized corporate structures (i.e. corporation, LLC, etc.). When a booster club registers with its state corporation commission it needs to seek the non-profit registration.

Please note: Becoming a state registered non-profit company does not automatically establish you as a tax-exempt organization. This is an additional federal filing process that requires filing additional forms and paying additional fees. Filing for tax-exempt status traditionally requires the assistance of a tax attorney and/or accountant.

The second form of corporate registration is to become a public operating foundation. Public operating foundations are traditionally registered under a master foundation or master charity and must conform to very strict rules and regulations established by the master foundation. This includes preventing the public operating foundation from opening its own checking account.

It would be wrong for me to state that your booster club can or cannot conduct business under your schools non-profit business registration as it may have setup a master foundation or charity and issued your group a public operating foundation to carry on under its legal umbrella.

If this is the status or your school and club then the answer is YES, you can conduct business as outlined by the schools master foundation or charity. If on the other hand your booster club has done what the majority of those we speak with have, and that being that they have simply borrowed a piece of school letterhead, gone to the local bank and opened a bank account and are now conducting business. The answer is NO!

Remember, to legally conduct business as a booster club you must either establish yourself as a legally registered company with your state and federal organizations, become a public operating foundation under a master charity or foundation or become a legally registered and recognized subsidiary organization to an organization that has already done one of the above otherwise you risk putting you, your booster club and your school in a position where penalties and fines can be assessed by both the state and federal government.

Cutting Expenses to Pay Extra Curricular Activities Cost

In today’s economical environment, everyone is looking to cut expenses. The sad fact of the school environment is funding for the extracurricular activities ranging from sports to music programs are eliminated. If the school continues these programs, the costs are either passed on to the participant’s family or through fundraising requests. For this reason, many families are looking to cut their everyday expenses in order to provide their children with a well rounded education and extracurricular opportunities.

As a mother of 4 active children, I reviewed our budget in hopes of finding some savings to compensate for the kids activities cost. The category with the greatest expense and greatest opportunity to cut cost was with our groceries. I have outlined my savings techniques which provide 40% savings consistently with minimal effort. Since everyone buys groceries, I thought sharing my cost saving techniques with fellow boosters may help other families provide their children with a well rounded confident life.

GUIDELINES TO A ROCK BOTTOM GROCERY RECEIPT

  1. Find the coupon redemption policy to all the stores in your area. I.e. do they double or triple coupons? If so up to what amount? Can you use more than one coupon per item?
  2. Do they have weekly, bi-weekly, monthly, quarterly sales or all of the before mentioned? What day do the sales start and end? Where do I get the information?
  3. Does the store have discount or courtesy cards? 3a. Are you using credit cards to pay for your groceries? If so are they offering you a rebate like Discover and Mastercard?
  4. Do they honor www.valupage.com and www.smartsource.com or other internet coupons?
  5. What other savings does the store offer that I don't know about?
  6. Use $200 coupon certificate book to supplement the coupons you're already getting from newspapers, magazines, etc. in your area. This book provides the opportunity to order the coupons you want when you need them. CCOA has been in business for over 18 years. Their coupon supplier network provides an inventory of coupons that come from cities all over the country. In other words if it is out there, CCOA will have it. Note: These coupon books can be used as a booster fundraiser that appeals to individuals and businesses. They provide a substantial return while saving the supporter money.   7. If you still need a coupon don't be afraid to go to the manufacturer's website. They usually have savings right there, or call their 800 number and request available savings.

I truly hope these cost saving tips help your family support your children’s dreams of being involved and active.
